At WebFlexrr Labs, we strive to deliver exceptional digital solutions and client satisfaction. However, we understand that circumstances may require a refund. This policy outlines the conditions under which refunds may be provided for our services.
Refund Eligibility
A refund may be granted under the following circumstances:
- Service Not Initiated: If the requested service has not commenced and no work or deliverables have been produced or shared, a full refund may be processed.
- Duplicate Payment: In the event of an accidental duplicate payment made due to a technical or transactional error, the excess amount will be refunded after verification.
- Delivery Delays Caused by WebFlexrr Labs: If WebFlexrr Labs fails to deliver the agreed-upon service or project within 30 business days of the confirmed start date—and this delay is not attributable to the client (e.g., lack of content, approvals, or cooperation)—a partial or full refund may be considered.
- Incomplete Delivery Despite Full Engagement: If WebFlexrr Labs is unable to fulfill its obligations due to internal constraints (e.g., staffing, resource, or operational issues), and the client has made full payment and remained responsive throughout, a proportionate refund may be issued based on the
Non-Refundable Cases
Refunds will not be issued under the following circumstances, regardless of the stage of engagement:
- Client-Initiated Change of Scope or Direction: If the client changes their business objective, strategy, or simply decides not to proceed after project initiation or resource allocation, no refund shall be applicable.
- Client Non-Responsiveness: Delays or disruptions caused by the client’s failure to provide necessary content, feedback, approvals, or access, within the expected timelines will void any refund eligibility.
- Consumed or Executed Services: Fees paid for services such as one-on-one consultations, strategy sessions, technical assessments, and active digital marketing campaigns are non-refundable once delivered or commenced.
- Custom Deliverables: No refunds will be provided once custom solutions (e.g., UI/UX designs, code, CRM modules, or integrations) have been developed, shared, or partially completed, as these are tailored to the client’s unique requirements.
- Third-Party Tools or Assets: Costs incurred for domain registrations, hosting, premium plugins, licenses, APIs, or any third-party subscriptions procured on behalf of the client are non-refundable under any circumstances, even if the overall project is terminated.
Partial Refunds
In limited cases, WebFlexrr Labs may consider issuing a partial refund when a project or service engagement is discontinued midway, provided the circumstances warrant such action. Partial refunds are granted solely at the discretion of WebFlexrr Labs and are evaluated based on the following key factors:
- Extent of Work Completed: A thorough assessment is conducted to determine the volume and complexity of tasks already completed, including any shared deliverables, design drafts, or code deployments.
- Time Invested: The actual number of hours or days invested by our team in planning, development, meetings, and execution up to the point of termination will be taken into account.
- Resource Allocation: Costs incurred in allocating human resources, licenses, server infrastructure, or third-party services toward the project will be deducted from the refund amount.
Partial refunds, if approved, will be calculated after deducting all applicable costs and will be issued only to the original mode of payment within 10–15 business days from confirmation.
Refund Request Process
Clients who believe they are eligible for a refund must follow the official process outlined below to ensure fair and timely evaluation:
- Step 1: Submission Send an email to refund@webflexrr.com with the subject line: "Refund Request – [Your Name/Company Name]"
- Step 2: Include the Following Information
- Full name and company (if applicable)
- Project or service name
- Date and method of payment
- Payment reference number or transaction ID
- Clear explanation of the reason for the refund request
- Any supporting documents (such as invoices, contracts, or communication logs)
- Step 3: Review and Response Our support and project review team will acknowledge your request within 3 business days and complete a detailed evaluation within 7 working days. You will be informed of the decision via email.
- Step 4: Resolution If approved, the refund will be processed within 10–15 business days through the original payment channel. If declined, the client will receive a detailed explanation.
Refund Timeline
Once a refund request is reviewed and approved by WebFlexrr Labs, we initiate the refund process promptly. The refund will be:
- Processed within 10–15 working days from the date of approval.
- Credited back to the original mode of payment, unless an alternative method is requested by the client and mutually agreed upon in writing.
- Subject to external processing times imposed by banks, payment gateways, or third-party providers, which may slightly vary depending on the method used (e.g., credit card, UPI, bank transfer).
Clients will receive a confirmation email once the refund has been successfully processed, along with transaction details for reference.
Final Decision
WebFlexrr Labs reserves the sole discretion to approve or deny refund requests based on several factors, including but not limited to:
- Project Status: Whether the project has been completed, is in progress, or has been started but is not yet delivered.
- Service Type: Certain services, such as consultations, strategy calls, and custom developments, may not be eligible for refunds once executed or delivered.
- Communication Records: A review of all client communications, feedback, approvals, and delays, including any failure to meet client-side obligations (e.g., content delivery, approvals, etc.).
- Internal Resources: Consideration of time, manpower, and resources already invested in the project.
The decision regarding the refund will be final, and clients will be notified in writing of the outcome.
Governing Law
This Refund Policy shall be governed by, and construed in accordance with, the laws of India. Any disputes, claims, or issues arising from or related to this policy shall be subject to the exclusive jurisdiction of the courts located in India. All parties agree to resolve any disputes under the jurisdiction of Indian courts, following the applicable national and local laws and regulations that pertain to consumer rights and contractual obligations.
